Job description

We are looking for an integral team member to support us make our workplace well organized, connected, and pleasant.

As an Office Assistant, you will contribute to ensuring smooth functioning of the office by handling various organizational and administrative tasks. Working under the supervision of the Operations Manager, you will schedule meetings, contact contractors, process documents, organize travel, etc. Depending on current needs and your interests, you might also support financial reporting, recruitment, outreach activities, or be involved in the rollout of new tools and processes within the organization.

We are looking for someone who thrives in a dynamic, international environment and is keen on using new technologies that make remote collaboration a breeze. The successful candidate will also value face-to-face interactions and will contribute to organizing team-building activities and creating a welcoming atmosphere at our small office in Brussels.

Required Skills

  • Fluent in English and either French or Dutch
  • Excellent problem-solving and organizational skills
  • Prior experience in administrative support for a small organization (ideally in a third sector)
  • Adept at workplace and virtual conferencing technologies
  • Friendly and supportive attitude
  • Diligent and reliable

Preferred Skills

  • Prior experience working with EU- or government-funded projects
  • Familiarity with a legal and administrative framework for Belgian nonprofit organizations
  • Creativity and interest in workplace innovation

Salary will be competitive, commensurate with qualifications and experience. This is a part-time position (19h a week) under a permanent employment contract. The work schedule will be agreed with the successful candidate.

We offer the possibility to work partially from home, however physical presence in our office in Brussels will be required twice a week (unless teleworking is imposed due to the COVID-19 pandemic).
